Equipment, cases and consumables

  • Serial-numbered equipment: Pick the brand and model from the catalog. You can also define products that are not in the catalog or have no brand. Add a warehouse and photos to each item.
  • Brand and model catalog: More than 50,000 AV products. Model cards hold technical data by equipment type.
  • Cases: Build a case by scanning its contents. Scanning the case adds everything inside it to the job. Items can be moved into the case from another case.
  • Consumables: Material without serial numbers, such as cable, is tracked by quantity: stock, groups, parts, intake, scrap and transfers between warehouses.
  • Bulk import from Excel: Import your Excel or CSV list from the web app. Brands and models are matched against the catalog, duplicates are flagged and missing serial numbers are entered on screen. Each item counts as verified the first time it is scanned.

Labels

  • Design your own label template with the visual designer, or copy a ready-made one.
  • Print labels one by one for equipment and cases.
  • Batch print labels for the equipment you select on roll labels, up to 200 labels at a time.

QR and RFID scanning

  • QR: Scan with a USB handheld scanner on a computer, an Android handheld or the camera of an Android phone.
  • UHF RFID: Scan with a handheld; the Invengo AT908 is supported. Read tags collect in a basket and you choose which ones to send. Set the read range to short, medium or wide.
  • RFID tagging: Assign a tag to an item or a consumable part, move it to another item or remove it. This also works without a connection.
  • Scanning rule: Serial-numbered equipment is processed by scanning only; you cannot act on an item by typing its serial number. A record shows that the item was really in someone's hands.

Jobs and work orders

  • When you create a job, you choose the location, dates, person in charge, crew, vehicles and drivers. Crew and vehicle conflicts are shown.
  • A work order reserves crew and equipment and shows conflicting equipment. Work orders go through approval and are turned into jobs.
  • Send to job: Reserved equipment is scanned onto the job; cases and consumables are sent from the same screen.
  • Scanning on site: Staff assigned to a job can scan equipment onto their own job. Equipment can move from one job to another.
  • Warehouse return: Returning equipment is scanned; anything that has not come back stays listed as out on that job.

Warehouses

  • Define multiple warehouses and assign a person in charge to each.
  • Transfer equipment, cases and consumables between warehouses by scanning or by quantity.
  • Open a warehouse count, assign staff, count by QR or RFID and get a count report.

Staff assignments, faults and external rentals

  • Staff assignments: Hand equipment to a person by scanning it, take it back and print a handover form.
  • Faults and technical service: Open a record by scanning and add photos. The record is sent to service, approved and closed. Each item keeps its fault history.
  • External rentals: Equipment rented from an outside company is entered manually; equipment from another company that uses the platform is recorded by QR. Partial and full returns are tracked, with handover forms.

Vehicles and fleet

  • Assign vehicles to jobs and work orders, choose drivers, track trips and loads, and get delivery forms.
  • Keep document, maintenance, fuel and fine records, with reminder notifications.
  • Drivers enter fuel, mileage and expenses from the handheld.

Working offline

Send to job, warehouse return, staff assignment and count scans, new jobs and work orders, adding equipment, fault records and sending consumables to a job all continue without internet in the web and mobile apps. Records wait on the device and are sent in order when the connection returns. Reports, printing, settings and some edits need internet.

Reports

  • Basic reports, scans by staff member and by scanning method.
  • RFID tag coverage, untagged equipment and the verification status of Excel imports.
  • Advanced analysis: venues, faults, service costs, staff, demand forecasts, utilization, seasons and idle inventory.

Staff and management

  • There is no user limit. Roles and permissions are set in detail.
  • Web and mobile notifications, notification center.
  • More than 30 hands-on training lessons for the web app and the handheld. Try the sample lessons.
  • The web and mobile apps are available in English and Turkish.

Connections

  • Other systems can send work orders through the API.

What it does not do

  • Quotes and invoices are not part of RoadieList.
  • There is no customer database (CRM) and no customer portal.
  • There is no iOS app.
  • Installation on your own server is not offered.
